The data controller

Who we are

Rocket Intentions Ltd ("Rocket Intentions", "we", "us" or "our") is an independent World Cup travel concierge and referral partner based in the United Kingdom. We are the controller of the personal information described in this policy.

For privacy enquiries, email hospitality@rocketintentions.co.uk or telephone +44 7344 394970.

Information we collect

We collect information that you provide through an enquiry, guide request, email, telephone call, WhatsApp conversation, or other direct contact. This may include:

  • Your name, email address, telephone number, company, or group.
  • Your preferred city, stadium, dates, departure city, guest count, budget, accommodation needs, hospitality interests, and itinerary requirements.
  • The content of your messages and our communications with you.
  • Your optional email-marketing preference.
  • Basic source information attached to a website enquiry, such as the page used, referring website, and campaign labels included in the link you followed.
  • If you accept optional analytics, information about page views and selected business actions, including successful form type, preferred city, budget band, guest count, WhatsApp or planning-call clicks, Expedia link category, CJ tracking label, stadium, and stay priority.
  • Technical and security information processed by our hosting provider, such as IP address, browser information, timestamps, and server logs.

Please do not include passport details, payment-card information, health information, or other sensitive personal information in a general enquiry form. If such information becomes necessary later, we will explain how it should be provided securely.

How and why we use your information

Responding to enquiries

We use your details to understand your brief, answer questions, prepare a shortlist, and take steps you request before any service arrangement. Our lawful basis is taking steps at your request before a contract and, where appropriate, our legitimate interest in responding to genuine business enquiries.

Providing requested resources

We use the details supplied with a guide request to provide that resource and respond to related questions. Our lawful basis is our legitimate interest in delivering the resource you requested.

Service administration

We use relevant records to manage client relationships, prevent fraud or misuse, maintain security, and meet legal, tax, accounting, or regulatory obligations. Our lawful bases are legitimate interests and legal obligation, as applicable.

Optional website analytics

When you accept optional analytics, we use Google Analytics to understand which pages and selected actions produce useful enquiries, guide downloads, WhatsApp conversations, planning-call interest, and affiliate clicks. Our lawful basis is consent, which you can withdraw through Cookie settings.

Marketing

We send promotional travel updates or offers by email only when you actively select the optional marketing box or otherwise give valid permission. Our lawful basis is consent. You can withdraw it at any time by emailing us or using an unsubscribe option in a marketing message.

We do not use solely automated decision-making that produces legal or similarly significant effects.

Lead-source and affiliate information

Our enquiry forms may record non-sensitive campaign labels from the link you used, such as "Instagram", "LinkedIn", or "Facebook". We use this information to understand which awareness activity produces useful enquiries. This does not involve behavioural profiling or automated decisions.

Some hotel, flight, package, and car-hire links are affiliate links. If you follow one, the affiliate network and booking provider may use identifiers or cookies under their own privacy and cookie policies. Rocket Intentions may receive referral, click, or commission reporting. We do not receive your full payment-card details from those providers.

Who receives your information

We do not sell your personal information. We may share or make it available only where necessary with:

  • Netlify, which hosts the website and processes website form submissions.
  • Microsoft, which provides our email and notification services.
  • WhatsApp and Meta when you choose to contact us through WhatsApp.
  • Google, when you accept optional Google Analytics, for website measurement and reporting.
  • Travel, hospitality, accommodation, transfer, or experience providers when you ask us to make an introduction, obtain relevant options, or support your planning.
  • Professional advisers, regulators, law-enforcement bodies, or courts where disclosure is required or reasonably necessary.
  • A buyer or successor if our business is reorganised, provided appropriate confidentiality protections apply.

Third-party booking and social platforms are responsible for their own processing when you visit or use their services. Review their privacy information before providing data directly to them.

International processing

Some service providers and travel partners may process information outside the United Kingdom. Where UK data protection law requires safeguards, we expect the relevant provider to use a recognised transfer mechanism, such as UK adequacy regulations, approved contractual clauses, or the UK international data transfer addendum. You may contact us for further information about safeguards relevant to your information.

How long we keep information

  • General enquiries that do not become active client matters are normally retained for up to 24 months after the last meaningful contact.
  • Client, referral, financial, and transaction records may be retained for up to six years after the relationship ends where needed for legal, tax, accounting, or dispute purposes.
  • Marketing preferences are retained until you withdraw consent or after 24 months without meaningful engagement, whichever comes first, unless a record is needed to honour an opt-out.
  • Security and hosting logs are retained according to the relevant provider's operational and legal requirements.

We may delete or anonymise information earlier when it is no longer needed.

Cookies and external services

Rocket Intentions uses a consent choice before loading optional Google Analytics. If you select "Accept analytics", Google Analytics may use identifiers such as _ga and _ga_<container-id> to distinguish visits and prepare reports. If you select "Only necessary", the Google Analytics tag is not loaded by our website.

Our analytics events are designed to measure page views, successful shortlist and guide forms, WhatsApp and planning-call clicks, and Expedia hotel, flight, package, and car-hire clicks. Our tracking code does not send the name, email address, telephone number, company, or free-text notes entered into a form to Google Analytics. Google may still process technical information associated with the visit under its own privacy terms.

We store your analytics choice in your browser under rocket-analytics-consent so that the site can respect it on later visits. You can reopen Cookie settings from the website footer and change your choice. Clearing browser storage also removes the saved preference.

External websites reached through our links, including Expedia, CJ, Instagram, and WhatsApp, may use their own cookies and tracking technologies. Their policies apply after you leave our website.

Security

We use reasonable technical and organisational measures to protect personal information, including HTTPS, restricted account access, and reputable hosting and communication providers. No internet service can guarantee absolute security, so please use the designated channels and avoid sending sensitive information through an ordinary enquiry form.

Your data-protection rights

Depending on the circumstances, you may have rights to request access, correction, erasure, restriction, portability, or objection to our use of your personal information. Where we rely on consent, you may withdraw it at any time without affecting earlier lawful use.

Your right to object: you may object at any time to the use of your information for direct marketing. You may also object to processing based on legitimate interests, although we may continue where we can demonstrate compelling lawful grounds.

To exercise a right, contact us using the details below. We may need to verify your identity before responding.

Children's information

Our enquiry service is intended for adults. A parent, guardian, or responsible adult should submit any travel requirements relating to a child. Please do not ask a child to complete our forms directly.

Contact and complaints

Email privacy requests to hospitality@rocketintentions.co.uk. We would appreciate the opportunity to address a concern first.

You also have the right to complain to the UK Information Commissioner's Office. Visit ico.org.uk/make-a-complaint for current contact and complaint information.

Changes to this policy

We may update this policy when our services, providers, or legal obligations change. The date at the top shows the latest revision.
